How StudyPilot works

A guided path from “where do I start?” to a prepared, tracked application, with you in control of every important step.

The journey

Six stages, one place

You can start anywhere. Browse without an account, then sign up when you want matches, a document vault and an application tracker.

  1. Stage 1

    Discover

Search the catalogue or ask StudyPilot AI. Filter by province, field, tuition, credential and delivery. Every result shows whether its data is verified.

    Search programs
  2. Stage 2

    Match

Build a short profile and get an explainable match: what fits, what does not, and what still needs verification. Rules decide; AI only explains.

    Find my match
  3. Stage 3

    Compare & shortlist

Line up to four programs side by side and save the ones you like. Nothing is hidden: missing fees are shown as needing verification.

    Compare programs
  4. Stage 4

    Prepare

Store your documents once in a private vault with version history. Each application gets its own checklist and deadlines.

    See the vault
  5. Stage 5

    Approve

Before anything consequential happens (submitting, paying, declaring), StudyPilot asks for your explicit approval and records it.

  6. Stage 6

    Hand off & track

You submit through the college’s official channel. Then you update your status and StudyPilot keeps the timeline, reminders and evidence together.

Data you can rely on

How college data reaches you

Raw spreadsheets are messy. Every record goes through the same pipeline before it appears in search.

ImportSource file is read as-is and every raw row is kept for audit.
NormaliseNames tidied, typos fixed, provinces and fees standardised.
De-duplicateSame college, campus and program merged. No double listings.
FlagEverything starts as “Needs verification”. Zero or missing fees are called out.
VerifyOnly a StudyPilot reviewer marks a record verified, with a date.

Verified

Confirmed against an official college source by a reviewer. Shows a green badge and the verification date.

Needs verification

Imported from our dataset but not yet confirmed. Useful for exploring; confirm with the college before you decide.

Always traceable

Each program keeps its source note and import history so we can explain where a number came from.

Explainable matching

No black-box scores

A match label is only useful if you can see why. Each result lists what matched, what did not and what is still unknown.

Example programGood match
  • Field of study matches your interests
  • Campus in a preferred province
  • Listed fee is within your budget
  • Delivery differs from your preference
  • Admission requirements: needs verification
  • Intake dates: needs verification
Strong match

Most checked factors line up and nothing important fails.

Good match

A solid fit with a small number of differences to review.

Possible match

Worth a look. Several factors differ or are unknown.

Needs verification

Not enough verified data to judge fairly, so we do not guess.

Application tracker

AI & data guardrails

What StudyPilot will and won’t do

Automation is only helpful when its limits are clear.

StudyPilot will

  • Answer from the verified catalogue and show where data came from.
  • Say “Needs verification” instead of guessing.
  • Prepare checklists, reminders and your document package.
  • Ask for your approval before any consequential step and log it.
  • Let you export or delete your data at any time.

StudyPilot will not

  • Guarantee admission, a study permit, PGWP eligibility or a job outcome.
  • Give legal or immigration advice, or act for the Government of Canada.
  • Submit an application, pay a fee or sign a declaration on your behalf without your approval.
  • Ask for or store portal passwords.
  • Invent fees, dates, requirements or scholarships.
