1. Who we are
StudyPilot (“we”, “us”) is an independent education-technology service that helps students discover Canadian colleges and manage applications. StudyPilot is not affiliated with the Government of Canada, IRCC or any college. Contact: hello@studypilot.example.
2. What we collect
- Account data: name, email address and a securely hashed password.
- Profile data you choose to give: student type, country, education, language test, interests, preferred provinces, budget and start term.
- Application and shortlist data: the programs you save, your application statuses, tasks, notes and approvals.
- Documents you upload: for example a passport scan, transcripts or a resume. These are stored privately and are not public.
- AI assistant conversations when you are signed in, so you can return to them.
- Messages you send us through the contact form.
- Update preferences and history: whether you agreed to email or WhatsApp updates, the phone number you gave, and a record of the updates we sent you.
- Technical and security data: IP address, timestamps and sign-in attempts, used to prevent abuse and to keep an audit trail.
We do not ask for, and you should never enter, your college-portal passwords, payment card numbers or immigration-portal credentials in StudyPilot.
3. Why we use it
- To provide search, matching, the shortlist, the document vault and the application tracker.
- To show explanations for matches and to answer questions in the assistant.
- To secure the service, prevent fraud and investigate problems.
- To reply to your messages and send service notices you need.
We do not sell your personal information and we do not use your documents for advertising.
Progress updates by email and WhatsApp
We only send progress updates (for example a profile reminder, program matches or a deadline reminder) if you switch them on, at registration or in Account & privacy. The updates are drafted by automated software agents that follow fixed rules over your profile and application progress. A member of our team reviews and approves every message before it is sent. Our team can see your profile and application status to do this, but cannot open your uploaded documents. Every email has an unsubscribe link, WhatsApp messages tell you to reply STOP, and you can switch updates off at any time. WhatsApp messages are delivered through WhatsApp under its own terms.
4. Sharing
We do not send your information to a college or any third party unless you explicitly approve that action. If an optional external AI provider is enabled by the site operator, only the text of your assistant question and the minimum catalogue context needed to answer it is sent; documents are never sent.
5. Cookies and local storage
StudyPilot uses one strictly necessary session cookie to keep you signed in and to protect forms against forgery. Your browser’s local storage keeps your comparison tray on your own device. We do not use advertising or cross-site tracking cookies.
6. Security
Passwords are hashed, forms are protected against cross-site request forgery, uploaded files are stored outside the public web folder and every download checks that the file belongs to you. No system is perfectly secure, so please use a strong, unique password.
7. Retention
We keep your data while your account is active. You can delete your account and its data from Account → Delete account. Security logs may be kept for a limited period after that.
8. Your choices and rights
You can view and update your profile at any time, download a copy of your data (JSON) and delete your account from the Account page. To ask for a correction or raise a privacy concern, contact us.
9. Children
StudyPilot is intended for people who are old enough to apply to college in their jurisdiction. If you are a minor, please use the service with a parent or guardian.
10. Changes
If we change this notice in a meaningful way we will update the date above and, where appropriate, tell you in the app.
